Our client is seeking a highly skilled and proactive Executive Assistant to support senior executives in a dynamic financial services environment. This individual will manage high-level administrative and operational tasks, including calendar and travel management, expense reporting, meeting coordination, and confidential communications.

Job Description

  • Manage complex calendars, schedule internal and external meetings, and coordinate conference calls across time zones.
  • Arrange domestic and international travel, including flights, accommodations, and ground transportation.
  • Prepare and process expense reports using SAP Concur, ensuring timely submission and compliance with company policies.
  • Draft, review, and edit correspondence, reports, presentations, and other executive-level documents.
  • Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Plan and coordinate high-level meetings, offsites, and board presentations.
  • Track and follow up on action items and project deliverables.
  • Maintain accurate filing systems and records, both electronic and paper.
  • Support special projects and ad hoc requests as needed.

The Successful Applicant

  • 5+ years of experience as an Executive Assistant or in a similar high-level administrative role, ideally in the financial services industry.
  • Experience with SAP Concur for expense and travel management is required.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); knowledge of Teams and SharePoint is a plus.
  • Exceptional organizational and time management skills; able to multitask and prioritize in a fast-paced environment.
  • Strong written and verbal communication skills.
  • High level of discretion and professionalism in handling sensitive information.
  • Bachelor's degree preferred but not required.
