Job Description

Facilities Operations

  • Manage the upkeep and functionality of office systems including HVAC, plumbing, electrical, landscaping, and overall building operations
  • Liaise with external service providers and contractors for facility repairs, maintenance tasks, and system upgrades, including supervision of any work performed outside regular business hours
  • Perform routine site walkthroughs to ensure adherence to health, safety, and environmental standards
  • Oversee budgeting for facility-related expenses, monitor costs, and manage negotiations for service agreements
  • Act as the primary responder to facility-related incidents or employee concerns, resolving issues promptly
  • Communicate with building owners and local agencies on matters concerning property maintenance, improvements, and billing coordination



Office Coordination

  • Greet and assist visitors, serving as the primary front-desk representative
  • Handle incoming calls by answering, screening, and directing them to the appropriate personnel
  • Collaborate with building security services to manage visitor access and ensure office safety
  • Maintain inventory of office and kitchen supplies, managing purchasing and restocking processes
  • Organize and facilitate daily lunch orders as provided by the company
  • Administer office seating arrangements and manage space allocation for both staff and guests
  • Provide support to onsite employees, including help with basic tech setup or troubleshooting
  • Schedule and coordinate use of meeting rooms, ensuring all requirements such as AV setup and catering are fulfilled
  • Ensure office tidiness during working hours and coordinate third-party cleaning services after hours

The Successful Applicant

  • Demonstrated background in both facilities management and office operations
  • Strong familiarity with building infrastructure, routine maintenance, and applicable local laws
  • Highly organized with excellent multitasking and attention-to-detail capabilities
  • Outstanding communication and people skills
  • Must reside in or near Palm Beach, FL
