Job Description

  • Manage complex calendars in Outlook, coordinating meetings across time zones with internal and external stakeholders
  • Prepare and edit high-quality PowerPoint presentations, incorporating charts, graphs, and visuals with attention to formatting and branding standards
  • Create and maintain detailed Excel spreadsheets and Word documents; advanced proficiency required
  • Coordinate domestic and international travel arrangements and detailed itineraries; maintain up-to-date travel profiles and documentation
  • Prioritize and manage multiple tasks and projects to meet deadlines and ensure critical deliverables are met
  • Act as a key liaison and trusted resource to anticipate the needs of executives and proactively manage issues
  • Independently manage and respond to incoming requests with accuracy, professionalism, and discretion
  • Support meeting preparation, including email filing, document preparation, and follow-up materials
  • Handle administrative tasks such as mailing, copying, binding, and invoice processing
  • Provide coverage and support to other teams as needed, including during absences and peak periods

The Successful Applicant

  • 5+ years of executive-level administrative experience in a fast-paced, corporate environment
  • Demonstrated ability to manage sensitive information with discretion and professionalism
  • Highly proficient in Microsoft Office Suite: Outlook, Word, Excel, and PowerPoint
  • Strong communication skills, both written and verbal; comfortable interacting with senior leadership and external partners
  • Experience with Concur or similar travel and expense management tools
  • Exceptional organizational skills, with the ability to anticipate needs and prioritize effectively
  • Strong judgment, interpersonal skills, and the ability to work both independently and collaboratively
  • Bachelor's degree or equivalent work experience required
  • Willingness to work overtime as needed
